Back In Balance Clinic ("Back In Balance", "we", "us", or "our") is a chiropractic and wellness clinic located at 2 Carlton St., Suite 1306, Toronto, ON M5B 1J3. We are committed to protecting the privacy of our patients and website visitors.

  • Contact details you provide — such as your name, email address, and phone number — when you submit a form, request an appointment, or email or call the clinic.
  • Appointment and booking information you enter through our online booking provider (Jane App).
  • Personal health information you share in the course of receiving care, including your health history, symptoms, assessment findings, treatment notes, and insurance details for direct billing.
  • Technical and usage information collected automatically when you browse the site, such as your IP address, browser and device type, pages visited, and referring source, gathered through cookies and analytics tools.

We use the information we collect to:

  • Respond to your enquiries and schedule, confirm, or follow up on appointments.
  • Provide, coordinate, and document your care.
  • Process direct billing and payments with your insurer where applicable.
  • Operate, maintain, and improve our website and the booking experience.
  • Understand how visitors find our clinic and measure the effectiveness of our marketing.
  • Meet our professional, legal, and regulatory obligations.

4. Personal health information

Your personal health information is collected, used, and disclosed only as permitted by Ontario's Personal Health Information Protection Act (PHIPA), and is kept confidential within your clinical record. We use it to deliver and document your care and, with your consent or as the law requires, to coordinate with other health providers or your insurer.

We do not sell your personal health information, and we do not use it for marketing without your express consent.

5. Cookies, analytics & advertising

Our website uses cookies and similar technologies to keep the site working, understand how it is used, and improve it. We use Google Analytics and Google Tag Manager to measure traffic and may use Google Ads to understand which campaigns bring patients to the clinic.

We operate Google Consent Mode: analytics and advertising cookies are disabled by default until you provide consent, and you can decline non-essential cookies. You can also control or delete cookies through your browser settings. Disabling cookies will not affect your ability to book or receive care.

6. Third-party services

We rely on trusted service providers to operate our clinic and website. These include Jane App for online booking and practice management, and Google for website analytics and advertising measurement. When you book online, your information is handled under that provider's own privacy and security terms.

Direct billing may require us to share the minimum necessary information with your insurer or its claims administrator, with your consent.

7. How we protect your information

We use reasonable administrative, technical, and physical safeguards to protect your information against loss, theft, and unauthorized access, use, or disclosure. Access to personal and health information is limited to staff who need it to do their jobs. No method of transmission or storage is completely secure, but we take your privacy seriously and review our practices regularly.

8. How long we keep your information

We retain personal and health information for as long as needed to provide care and to meet our professional and legal obligations, including the records-retention requirements that apply to regulated health professionals in Ontario. When information is no longer required, it is securely destroyed or de-identified.

Subject to applicable law, you have the right to:

  • Access the personal and health information we hold about you, and request a copy.
  • Ask us to correct information that is inaccurate or incomplete.
  • Withdraw your consent to certain uses of your information, subject to legal and professional limits.

Our website is not directed at children, and we do not knowingly collect information from children online. We do provide care to minors; in those cases, information is collected and handled with the consent of a parent or legal guardian as appropriate.

Our website may link to third-party sites, such as our online booking page or social media profiles. We are not responsible for the privacy practices of those sites, and we encourage you to review their privacy policies.
